Description

Reporting to the SVP, Chief Marketing and Communications Officer (CMCO), this position is responsible for the day-to-day management of the schedule and priorities of CMCO and departmental coordination. The Marketing Coordinator manages CMCO calendaring and prioritization, the flow and exchange of information, streamlines interactions and acts as general administrative and organizational support for the CMCO. This position demands a high level of confidentiality, attention to detail, organization, strategic planning and communications skills. This position will coordinate projects, meetings, reports and deliverables for the CMCO, including Marketing Department management, the National Board of Directors Marketing Committee and other projects as assigned.

ESSENTIAL FUNCTIONS:

CMCO Administrative Support (65%)

  • Coordinates and manages complex master calendar and prioritization of activities for the CMCO, as well as key departmental priorities and events
  • Facilitates administrative tasks including arranging the CMCO’s travel schedules, logistics coordination and itinerary preparation, expense tracking, and completing expense reports and timesheets. Coordinates with other internal/external assistants as needed
  • Schedules internal and external meetings (both virtual and in-person), calls, and requests for review and approvals for the CMCO
  • Ensures CMCO is prepared for internal and external stakeholder interactions, including meetings, conferences and other scheduled events with all relevant materials and information
  • Assists the CMCO in tracking priorities, taking notes at key meetings, following up on action items and tracking progress via email and Asana
  • Manages the CMCO’s correspondence; sorting email, mail, and composing correspondence (letters, memos, e-mail) on behalf of the CMCO
  • Supports CMCO with presentation preparation and relevant research
  • Manages reporting, tracking and updates of key priorities to internal departments
  • Serves as the CMCO point of contact for staff, external stakeholders and the public
  • Strategically and collaboratively liaises across departments to coordinate projects, events and key initiatives

Project and Event Management Support (35%)

  • Coordinates with the project management team on priority projects and associated deadlines
  • Executes coordination, scheduling, logistics and communications for department priorities, meetings and events, including the BOD Marketing Committee, Marketing Leadership Team, and department all-staff meetings
  • Prepares for interactions with internal and external stakeholders with relevant meeting information, materials, Zoom coordination to ensure both onsite and virtual attendees are set up for success
  • Arranges conference room and lodging reservations for attendees where applicable, coordinates the travel needs of participants
  • Initiates applicable, subsequent follow-up meetings and communication to key internal and external stakeholders
  • Supports coordination and facilitation of broader organizational events and priorities, e.g., MET, MALT, All Staff and various retreats/development sessions
  • Supports department projects as assigned, including writing emails/memos, proofreading, PowerPoint presentations, project management. Performs research and fact gathering and miscellaneous duties as assigned
