Description

The Manager of the State Director’s Office is responsible for a variety of administrative and operational functions in the State Director’s office, which may include calendar management, scheduling and logistics of board and committee meetings and other events, supporting the State Director with drafting correspondence, processing expenses, and helping to manage internal and external communications. They will also prepare materials for Board of Trustees quarterly meetings and for standing committees of the Board and be responsible for Human Resources administration for the Chapter.

RESPONSIBILITIES AND SCOPE

Executive Coordinator (25% of position):

Responsibilities include supporting the Rhode Island State Director’s administrative affairs and project and process management. They provide in-depth support to the State Director in the form of calendar management, expense reporting, travel arrangements, meetings logistics, communications, and project and report coordination. They assemble information about people/relationships and context for upcoming meetings, enter call reports on behalf of State Director into fundraising database, and maintain all files for the Director. This position will also coordinate, take meeting notes and attend chapter management team meetings.

Board of Trustees Logistics (25% of position):

This position working with the chapter management team is responsible for all aspects of planning and organizing quarterly trustee meetings/events (virtual/in-person), assembling Trustee meeting materials, supporting Director of Philanthropy in on-boarding and orientation of new Trustees, scheduling meetings for the Board’s committees, taking meeting notes, and other Trustee-related administrative duties.

Recruiting and HR Administration (50% of position):

Responsible for Human Resources functions including overseeing recruiting efforts (including building networks with universities, associations, etc. to enhance diversification of candidate pools for the chapter), onboarding, performance partnership process and professional development; maintaining accurate personnel files; including processing new hire paperwork, data entry, maintaining online and hard copy files, preparing new hire materials, processing employment changes, and responding to employee inquiries.  Responsible for maintaining and handling highly sensitive employee data.  Working with divisional HR Manager, this position will provide information to all levels of staff on HR issues, employee relations, coaching, performance, and problem resolution.

Other Responsibilities for this position:

  • Maintains confidentiality of frequently sensitive and emotionally charged information.
  • Manage projects with several variables, set realistic deadlines, manage a timeline, and ensure accountability.
  • May supervise administrative, professional and/or volunteer staff, responsibility includes training and professional development.
  • Participates and/or manages other projects as assigned
  • Travel occasionally, work flexible hours as needed.
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
