Description

The HR Operations Billing Specialist will be a member of the HR Operations team and will provide support in the areas of billing, reconciliations, payment, and accounting.

ESSENTIAL FUNCTIONS

The HR Operations Billing Specialist’s scope includes receiving, organizing, and keying invoices from a variety of sources into the Accounts Payable system, completing reconciliations, ensuring accuracy, resolving problems, and preparing invoices for payment.  They will serve as an integral point of contact with HR Operations’ team members and be responsible for expeditiously and courteously responding to, routing, and/or resolving issues.  They regularly interact with external vendors, state and local agencies, and staff across the Conservancy to obtain information, and troubleshoot errors.

RESPONSIBILITIES AND SCOPE

  • Responsible for the accounts payable and accounts receivable function within the HR Operations department.
  • Receive, process, verify, and reconcile all incoming invoices and checks.
  • Generate and prepare financial reports for self-billing insurance plans.
  • Reconciling benefits eligibility to vendor invoices.
  • Reconciling payments to benefits vendor plans such as FSA accounts and self-insured plans.
  • Submit payment requests in SAP Concur system.
  • Perform a variety of accounting duties such as preparing and booking journal entries, performing reconciliations and conducting special analyses and projects.
  • Identify, analyze, interpret and ensure appropriate recording of financial transactions.
  • Investigate and resolve problems associated with processing of invoices and payments.
  • Partner with Finance to resolve problems relating to payments and reconciling accounts.
  • Negotiate with vendors and other state and local agencies to resolve payment issues; maintain productive relationships with vendors and agencies.  
  • Act as a resource to staff in answering payment questions.
  • Ensures TNC policies and procedures, financial standards and legal requirements are met.
  • Works in multiple financial systems and relational databases.
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
  • Work is diversified and may not always fall under established practices and guidelines.
